Job Description

The primary responsibility of the HR Compliance Intern is to work closely with the HR Compliance Analyst and internal legal counsel to prepare digital and physical copies of personnel records for transfer on a global scale by country. This is highly responsible clerical and administrative work utilizing a centralized global record filing system. An employee allocated to this class of work performs complex clerical duties which involve independent judgment based on experience and knowledge of employment records policies and procedures. Work involves auditing records, filing records, retrieving records and disposition of records. Work also includes managing records on one main record system, Onbase/Iron Mountain and occasionally working with other secondary records of systems as well.

This is a remote position in India. We will only consider candidates currently in India and are not offering relocation assistance at this time.

About the Role

  • Assist with attaining accountability of all required employment documents by country by conducting audits.
  • Work closely with the HR Compliance Analyst and internal legal counsel in the determination of retention and disposition policies for all global personnel records (both physical and digital) by country.
  • Work with the HR Compliance Analyst and other stakeholders in developing a personnel File transfer of records plan by country.  
  • Prepare for the transfer of digital and physical copies of personnel records which include but not limited to full audit of personnel records by country; classifying records by category types; tracking and identifying missing records; other tasks related to the preparation for physical shipment or digital transfer.
  • Provide guidance to personnel who are involved in packing or preparing records for storage.
  • Make decisions about who can access records based on maintaining a high level of confidentiality and security management.
  • Provide guidance to departmental personnel in records related issues, inquiries, and personnel records tracking updates.
  • Work with records management team to ensure proper handling of all material. Records management will rely on the expertise of the personnel records coordinator for all records handling and maintenance issues.
  • Review records scheduled for disposition. Dispositioning of records will require legal approval and HR Compliance Analyst close guidance to ensure that all records scheduled is no longer needed and is eligible for disposition.

About You

  • Knowledge of HR records management principles, procedures, and current practices.
  • Understands data confidentiality principles and follows them diligently
  • Experience with web-based record keeping systems.
  • Experience in the use of computers and computer software programs to include Microsoft Office Suite, particularly of Excel spreadsheets and SharePoint
  • Ability to exercise independent judgment and make decisions with limited direction and guidance.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to plan, organize, set priorities, and accomplish tasks with minimal supervision.
  • Ability to establish and maintain good working relationships with administrators, staff, and other business partners.
  • Highly organized multitasker who works well in a fast-paced environment.
