Job Summary

The Regional Travel Co-ordinator will be the main point of contact for all travel-related queries and will be responsible for providing a high level of customer service, managing implementations, policies and reporting.

Responsibilities

  • Operational management of the Groupe Travel & Card Programme across AMEA, ensuring:
  • The card programme is set up and managed within Publicis Groupe guidelines to the levels directed by the Groupe Travel Manager.
  • Internal approvals for all new Cards are managed within Publicis Groupe guidelines
  • Amex application processes are followed for all new card set up, changes to cards and accounts and termination of all cards.
  • Aligning the BTA payment process with accounts payable teams
  • Annual audit of cardholder employee status
  • Ensuring hierarchy for all markets is correct for global suppliers, including checks on raw data
  • Review with Regional and Groupe Travel manager strategies to reduce any recurring themes relating to bad debt and put in place measures to reduce this with agency CFOs.
  • Monthly/quarterly/annual reporting requirements of the programme are completed on time and within Publicis Groupe guidelines including monthly delinquency and travel reports, and annual CSR reports
  • Ad hoc reporting as requested by agencies or the Regional Travel or Groupe Travel Manager
  • Communication, both written and oral,  is of a high standard with employees, internal stakeholders and supplier Account Managers demonstrating Excellence through Partnership at all time
  • Preparation and implementation of all communications to agency cardholders and travellers, CFOs and others as appropriate or directed by the Regional or Groupe Travel Manager.
  • Filing all programme documentation, including internal applications, guidelines etc are filed in a secure and identifiable manner.
  • Assistance with implementations of new agencies into the Groupe Travel and Card programme (including assistance with regards to BTAs for AMEX Travel implementations).
  • Acting as 2nd level approver for out of policy travel bookings:
  • Bookings made locally that breach the Groupe’s travel policy
  • Reviewing situations where more than the required number of travellers are on the same flight
  • Managing local travel contracts
  • Actively develop and maintain strong working relationships with all Re: Sources personnel both at an interpersonal level and across all business processes within the wider business environment.
  • Actively maintain communication and behaviour standards that foster a culture of strong customer and service excellence both within Re: Sources and across all customer and supplier organisations.
  • Undertake all work in a safe manner and follow all company and workplace health and safety procedures
  • Identify new hazards and advise the manager or workplace H&S representative/co-ordinator within 24 hours of identification.
  • Report incidents and accidents to the manager or workplace H&S representative/coordinator as soon as possible
